1. Who we are
Sesame Seed Pty Ltd (“we”, “us”, “our”) is an Australian company based in Port Macquarie, New South Wales. We provide coaching, education, training and advisory services, including executive and leadership coaching, leadership development training, skills analysis and support, systems-based analysis and solution design, business streamlining support, group programs such as the Master Your Magic® Leadership Intensive and Messy Magic, online courses, keynote speaking, workshops, and free content including the Jagged Brilliance video series and our newsletters.
Our services are educational and coaching services. We are not a registered health provider and our services are not therapy, counselling, clinical psychology or medical treatment. All materials are provided for general education purposes and should not replace the advice and recommendations of your health care provider. Where our work supports wellbeing, we mean wellbeing in its broad sense, operational and holistic: sustainable ways of working and leading, not health treatment.
This policy explains what personal information we collect, how we handle it, and your rights. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and we apply these standards to all personal information we hold.
2. What we collect
Contact and identity details. Name, email address, phone number, business name and role. For coaching clients, we also collect date of birth, address, and the name and relationship of a nominated emergency contact.
Payment information. Payments are processed by our payment providers (Stripe, via our Kajabi website platform). We do not store your full credit card details on our own systems.
Coaching and program information. Information you share during coaching sessions and programs, including your goals, work context and challenges. Session notes and summaries. Where you consent, recordings and transcripts of sessions (see sections 5 and 6).
Sensitive information. In the course of coaching, you may choose to share information about your health, neurodivergence or disability, for example to help us make reasonable adjustments or tailor our work together. We only collect sensitive information with your consent, and we handle it with additional care as described in section 5.
Website and technical data. IP address, browser type, pages visited and interactions with our website and emails, collected through cookies and similar technologies (see section 13).
Forms, surveys and correspondence. Responses to intake forms, surveys and feedback requests, form submissions on our website, and email correspondence with us.
3. How we collect it
We collect personal information directly from you when you fill in a form on our website, subscribe to a newsletter, enrol in a program, complete an intake or consent form, book a session, attend a session or workshop, make a payment, or correspond with us.
We collect some website data automatically through cookies and analytics when you visit our site.
We only record coaching sessions and program sessions with your knowledge and agreement, as described in section 6.
4. Why we collect it
We collect, hold and use your personal information to:
- deliver our services, including coaching sessions, group programs, online courses and events
- prepare for and follow up sessions, including session summaries and between-session resources
- process payments and manage enrolments, bookings and accounts
- communicate with you about your program, bookings and our services
- send you marketing and newsletter content where you have subscribed or asked us to (see section 12)
- respond to enquiries and provide support
- improve our services, website and content, using aggregated or de-identified information wherever possible
- meet our legal and professional obligations, including record keeping, and manage the safety exceptions described in our coaching consent process
If we want to use your information for a purpose not covered by this policy, we will ask you first.
5. Sensitive information and coaching records
Coaching conversations can touch on personal territory, including health and neurodivergence. Here is how we protect that information:
- We collect sensitive information only with your consent, and only where it is relevant to the work we are doing together.
- Before coaching begins, you receive a written information and consent form that explains confidentiality and its limits (safety of you or others, serious risk to a child or vulnerable person, legal requirements, or your written consent to share).
- Coaching session notes that are de-identified (with your name and identifying details removed) are stored in our secure cloud storage (Google Workspace). Documents that identify you, such as signed consent forms, are stored on secured local storage at Sesame Seed premises, not in the cloud.
- If sensitive information is disclosed during a recorded session, we remove it from the recording before that recording is stored or shared to any other platform (see section 6).
- We never use or share sensitive information for marketing.
- We may share summary feedback with a third party (such as an employer or sponsor) only with your prior, explicit written consent specifying what is shared, with whom, and for what purpose.
6. Session recordings
One-to-one coaching. Sessions are recorded or transcribed only with your agreement. Where Zoom’s AI Companion is available in a session, you are asked at each session whether you would like it on or off. Transcription of coaching meetings is done through NovoNote (NovoPsych), an Australian platform built to health-sector privacy and security standards. We chose it as a gold-standard precaution: not because our sessions are health services, but so that if someone does share something personal, it is protected to the highest standard available.
Group programs. Group program sessions (for example, Master Your Magic® sessions) are recorded so that enrolled participants can revisit them. As a participant you agree to recording, and to the limits of confidentiality, at the start of the program. Recordings are edited before sharing: any sensitive disclosures are removed first. Edited recordings are stored on our course platform (Kajabi) and are available only to participants enrolled in that program. Working copies used for editing (in Descript) are deleted when the program is completed.
7. Community spaces (WhatsApp groups)
Some programs offer an optional WhatsApp group to support connection between sessions. Joining is entirely your choice. These groups are hosted on WhatsApp (Meta), so anything you share there is handled under WhatsApp's own privacy policy, and is visible to other group members. The groups are self-directed: we help make them available but do not run, moderate or control them, and the limits of confidentiality explained at the start of your program apply. Share only what you are comfortable sharing in a group setting.
8. How we use AI
We use AI tools in running this business, and we believe you should know exactly how. Our approach follows the Office of the Australian Information Commissioner’s guidance on the use of commercial AI products.Â
The tools we use
- Claude (Anthropic). We use Claude to support business operations, content drafting and program administration, and to prepare coaching session summaries and between-session resources. Coaching material worked in Claude is de-identified first, and clients consent to this before and during sessions. Claude also connects to our business email and calendar to help manage operations. This means that when you email us, your correspondence is handled under Google's privacy policy (our email provider) and may be processed with AI assistance under Anthropic's privacy policy, as well as this one.
- NovoNote (NovoPsych). Used to transcribe coaching meetings. We selected it as the most secure transcription platform available for sensitive conversations.
- Zoom AI Companion. Optional in live sessions, controlled by your per-session choice.
- Descript. Used to edit and caption program recordings and published content. Program session copies in Descript are deleted at program completion.
- ChatGPT (OpenAI). Used for image generation, which may occasionally draw on de-identified, aggregated results from program satisfaction surveys. Survey participants are told about this when they give their consent. We use a paid subscription with data controls set so that our content is not used to train OpenAI's models.
Our AI rules
- We do not enter identifying or sensitive client information into general-purpose AI tools. Coaching material is de-identified before any AI-assisted work.
- We use commercial AI services under terms that restrict the provider from using our data to train their models.
- AI outputs that relate to you (such as session summaries) are reviewed by Mariane before use.
- We review the memory stored on each AI platform monthly, and delete anything unnecessary or anything that could put personal information or intellectual property at risk.
- You can ask us at any time not to use AI tools in connection with your coaching work, and we will honour that.
Your ideas and intellectual property. If you share your content, business ideas or intellectual property with us by email, be aware that it passes through the systems described above. We never enter your personal or proprietary intellectual property into AI tools for model training, and we never use it for any purpose beyond our work together. We do use AI to accelerate general competitor and market analysis, in the same way you might use an internet search, drawing only on publicly available information.
9. Automated decision-making
We do not use computer programs to make decisions that significantly affect your rights or interests. No enrolment, pricing, or service decision about you is made solely by an automated system. Our payment providers (such as Stripe) use automated fraud screening when processing payments, which may affect whether a payment is accepted.
10. Storage, security and retention
Your information is held on the following systems: our website and course platform (Kajabi), payment processing (Stripe), email and scheduling (Google Workspace), newsletter platforms, transcription and session tools described above, and secured local storage at Sesame Seed premises for identified coaching documents.
We take reasonable steps to protect your information from misuse, interference, loss, and unauthorised access, modification or disclosure. These include technical measures (encryption in transit, password protection, access controls, reputable providers with strong security certifications) and organisational measures (limiting access to those who need it, de-identifying coaching material, separating identified documents onto local storage, and deleting working copies when programs end).
We keep client records, including notes, consent forms and any retained recordings, for 7 years after an engagement or program ends, in line with professional record-keeping standards, and then securely destroy or de-identify them. Newsletter and marketing data is kept while you remain subscribed.
No internet transmission is completely secure, but if something goes wrong we will act quickly and transparently (see section 15).
11. Who we share information with, including overseas
We do not sell personal information. Ever.
We share personal information only with the service providers who help us run the business, when you ask us to, or when the law requires it. Because several of our providers are based overseas, your personal information is likely to be disclosed to recipients in the United States, and in some cases other countries where those providers host infrastructure. We take reasonable steps to ensure these providers handle your information consistently with the APPs, including relying on their contractual data-protection commitments.
We may also disclose personal information where required or authorised by law, such as in response to a court order, or where necessary to lessen or prevent a serious threat to life, health or safety, consistent with the confidentiality limits in our coaching consent process.
12. Marketing and communications
You will only receive marketing emails or newsletters from us if you subscribed, enrolled, or otherwise asked to hear from us. Every marketing email includes a working unsubscribe link, and unsubscribe requests are actioned promptly (and always within 5 business days) with no login or explanation required. You can also opt out any time by emailing us.
We never use sensitive information for marketing.
13. Cookies and analytics
Our website uses cookies and similar technologies to keep the site working, remember preferences, and understand how visitors use our pages so we can improve them. We use Google Analytics for this. Analytics data (such as pages visited, device type and general location) is used in aggregated form and is processed by Google on servers that may be located overseas, including in the United States. You can opt out of Google Analytics using Google's opt-out browser add-on, or by refusing cookies.
You can set your browser to refuse cookies. Some parts of the site may not work fully if you do.
14. Access, correction and your choices
You can ask us at any time:
- to access the personal information we hold about you
- to correct information that is inaccurate, out of date, incomplete or misleading
- to delete your account, your email address from our lists, or other information we no longer need to keep
- to limit how your information is used, including asking us not to use AI tools in connection with your coaching work
Email [email protected] and we will respond within 30 days. There is no charge for making a request. If we cannot do what you ask (for example, where we are required to retain a record), we will explain why in writing.
Coaching clients can also review, correct or discuss their records directly with Mariane at any time.
15. Data breaches
We are covered by the Notifiable Data Breaches scheme. If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as soon as practicable, tell you what happened and what we are doing about it, and take steps to prevent it happening again. Suspected breaches are assessed promptly, within 30 days at most.
16. Complaints
If you have a concern about how we have handled your personal information, please contact us first at [email protected]. We take complaints seriously: we will acknowledge your complaint, look into it properly, and respond to you within 30 days.

17. Children and young people
This website, and the programs and marketing on it, are directed to adults. We do not knowingly collect personal information from anyone under 18 through this website. If you believe a young person has provided us with personal information here, contact us and we will delete it promptly.
We do sometimes work with young people in other settings, such as keynotes, workshops and educational programs delivered through schools and youth organisations. In those engagements we collect only the personal information needed for the engagement, with the consent of the school, parent or guardian, and handle it with extra care. Mariane holds a current Working With Children Check. We also hold some records from past programs involving young people; these are retained and protected in line with sections 5 and 10 of this policy.
18. Changes to this policy
We review this policy regularly and update it when our practices or the law change. The current version will always be available on this page with its “last updated” date. If we make a significant change to how we handle your information, we will let subscribers and current clients know directly.
